What to include in an equipment RFQ

A complete request for quotation gives suppliers the information to propose suitable equipment and clear commercial terms.

For an industrial handling equipment RFQ, include the maximum load, load drawings, lifting or support interface, operating-site layout, travel route, duty cycle, project country and required acceptance criteria. Ask suppliers to confirm assumptions and exclusions in writing.

The essential project information

Buyer and location Company, contact person and the country where equipment will operate.
Handling task What is collected, moved and placed, and at which process stages.
Complete load Maximum gross mass, geometry, centre of gravity and fixture drawings.
Load interface Approved lifting points or platform support and restraint arrangement.
Site layout Clearances, route length, gradients, ground or floor loading and crossings.
Operating duty Moves per shift, travel distance, available charging windows and environment.
Controls and integration Operator control, automated cycle, docking and plant-system interfaces.
Documentation Requested language, drawings, manuals and destination requirements.
Commercial scope Delivery location, installation, training, spare parts and service expectations.
Acceptance criteria Agreed load, route, functional checks and verification method.

Use drawings to remove ambiguity

A dimensioned drawing or clear marked-up layout is more useful than a brief capacity request. Identify the load outline, lifting points, pick-up height, destination height and restricted access areas. Include photos when they explain the operating environment, while keeping commercially sensitive information out of public channels.

Separate requirements from preferences

Distinguish mandatory requirements from preferred features. If you are unsure whether a straddle carrier, transfer cart or AGV is suitable, describe the movement and let the supplier review the equipment family. Avoid prescribing a configuration before the handling process is understood.

Request a clear supplier response

  • Proposed equipment and rated operating conditions.
  • Assumptions used for load, route and operating cycle.
  • Included and excluded interfaces, services and documentation.
  • Project-specific lead time and delivery terms.
  • Acceptance method, warranty terms and service responsibilities.
